A growing company and an outdated IT system

Just Digital are specialists in time critical, quality print, taking projects from concept to completion with their in-house creative design teams and state-of-the-art printing technology. TiG met Just Digital in Autumn of 2018, when they were looking for a technical solution that would speed up their work processes and allow for continued expansion of their business.

The problem that Just Digital were facing was that their old IT system was no longer fit for purpose – it had been great when it was implemented five years previously, but after an office move that saw them doubling their workforce and quadrupling their office space the old system just wasn’t viable any longer. With ambitious plans to continue expanding the business it was also crucial that they found a solution that would enable them to grow whilst also maintaining the security of their data and systems.

Timing is critical

In the printing industry deadlines are short and expectations are high. Just Digital’s large number of corporate clients request high quality products and expect them to be delivered fast, meaning up to 90% of jobs are produced and dispatched the same day. This requires a technical system that supports the design teams to create artwork and send it to other departments for editing and printing in an unbroken chain. The outdated IT system meant that users were experiencing slow storage performance that became worse as the storage volumes filled, creating up to five-minute wait times during peak workload periods. In addition to this there was no disaster recovery plan and a risk of permanent data loss, with a single server trying to handle the workload and taking up to 72 hours to restore after any outages.

The impact of problematic systems and slow load times had not yet been felt by customers, but it was something that was certainly affecting staff morale. ‘I suppose the biggest difference we have noticed so far’, says Just Digital’s Company Secretary Jane Saunders, ‘Is that our people have stopped complaining about not being able to get their work done!’ The decision to update the network had become business critical as staff were not able to work efficiently, regularly being left with nothing to do while they waited for their computer to stop showing them ‘the pinwheel of doom’. As load times have reduced, job satisfaction has increased across the business and all teams, from internal IT technicians to Creative Designers, have been able to focus on the job in hand.

Solutions for the next generation

The solution provided by TiG transitioned Just Digital’s storage onto the hybrid cloud, speeding up the network and including disaster recovery in the Azure cloud. This created a secure and flexible platform which will be able to expand alongside Just Digital as the company grows. Jane Saunders says, ‘By putting better systems in place to allow for quicker decision making and team working, we can forge forward at a faster speed, to replicate what we do already and grow as a company by developing into other markets. From the outset TiG took time to understand what we were trying to achieve and gave us suggestions that will support the next generation of Just Digital’.
